W-2's will be mailed to home addresses again this year. Here are some Q&A’s regarding Form W-2 that may be helpful when reviewing W-2 tax data.
1. How do I get my Form W-2?
Current and Former Employees – W-2 Forms were mailed via the USPS by the end of January to current mailing addresses that the Simsbury Public Schools Human Resources have on file. Employees can also view and print W-2 forms from the Employee Self Service (ESS) by logging into https://ssp.simsburyschools.net/ess/Login.aspx .
2. My wages on my W-2 do not match my final pay stub of the year. What is the problem?
Form W-2 is a summary of the taxable earnings received in a calendar year while pay stubs reflect total gross earnings. To convert from total gross earnings to taxable earnings, you need to subtract the nontaxable deductions (Section 125 deductions – medical/dental/vision, flexible spending account deductions including dependent care deductions, employee health savings account contributions) and retirement deductions including pension and 403(b) plans. These deductions are itemized in box 12, 13, and 14 of the W-2.
3. My W-2 does not reflect my current salary. How come?
Your W-2 does not reflect your fiscal year salary; it reflects taxable, calendar year wages. The payroll dates that your W-2 covers are from January to December. See question #2 for a description of taxable wages.
4. How many payroll dates were there in calendar year?
There are typically 26 payroll dates in a calendar year. The number of payroll dates can change from year to year due to things like Leap Year. Please refer to the current pay date calendars located on the district website.
5. I either didn’t receive or lost my W-2 Form; what do I do?
If you are a current or former employee and didn’t receive your printed W-2 by January 31st, you can log onto the Employee Self Service (ESS) to print a copy of your W-2.
6. The Name or Social Security Number is wrong on my W-2; what should I do?
Your name and SSN must match the information on your Social Security Card. Send a copy of your Social Security card, the incorrect Form W-2 and a note requesting a W-2 correction form to Town Deputy Finance Director.
7. My address on the W-2 is incorrect; what should I do?
A corrected W-2 is not required for a change in address. If you need to change your address, please fill out a Change of Address form which can be found through Employee Self Service (ESS). The form needs to be returned to the Payroll Department and Human Resources Department.
8. What if I didn’t have any federal or state taxes withheld according to my W-2?
You would not have had any federal and state withholding taxes if you claimed an exemption from federal / state withholding on your W4 form for the year (Employee’s Withholding Allowance Certificate). Check your tax status through your Employee Self Service (ESS) by logging into https://ssp.simsburyschools.net/ess/Login.aspx. In addition, if your earnings are under a certain threshold, you may not have been subject to any federal and state withholding taxes. You can submit Federal or State W4 tax withholding forms at any time to make any adjustment as necessary. These forms can also be found on ESS.
